1. Who we are

2. What data we collect
Account information you provide (name, email, phone number, business name); knowledge files you upload (PDFs, documents, text); WhatsApp message content routed through the service; usage logs (timestamps, message counts, error events); and standard server logs (IP address, user agent, request metadata).
3. Why we collect it
To provide and operate the service, train and run your AI agent on your knowledge, deliver customer support, prevent abuse, handle billing, and improve service quality. We do not sell personal data.
4. Legal basis
We process your data based on (a) the performance of our contract with you, (b) your consent where required, and (c) our legitimate interests in operating and improving the service.
5. Who we share data with
We share data only with subprocessors required to deliver the service: OpenAI (United States) for embeddings and chat completions; Railway for backend hosting. Each subprocessor is bound by a data processing agreement with confidentiality and security obligations. We may also disclose data when required by law or to protect our rights.
6. Data retention
Account data is retained while your account is active and for up to 12 months after closure for billing and legal records. Uploaded knowledge files are retained while your account is active and deleted on request. Conversation logs are retained for 12 months for service quality and abuse investigation.
7. Your rights
You may request access to, rectification, erasure, restriction, or portability of your personal data, and object to specific processing. To exercise these rights, email [email protected]. We respond within 30 days.
8. Security
We use TLS encryption in transit, encryption at rest, role-based access controls, and audit logging. While we apply industry-standard safeguards, no method of transmission or storage is fully secure.
9. International transfers
Your data may be processed in the United States and the European Union by our subprocessors. We rely on contractual safeguards (such as Standard Contractual Clauses) for transfers outside your home jurisdiction.

11. Changes to this policy
We may update this policy. Material changes will be notified via the dashboard or email at least 30 days before they take effect. Continued use of the service after the effective date constitutes acceptance.
